Members & Access

Hearth & Hall centers the organization on its roster. Membership types classify people; roles and permissions decide what they can do. There is no fixed Member → Board → Treasurer ladder — you name the types and officer roles your bylaws need.

How access works

  • Each membership has an Admin on/off flag. Admins have every permission in the organization.
  • Permission keys are fixed by Hearth & Hall (billing, catalog, documents, …). Orgs do not invent keys.
  • Everyone else gets permissions from the roles they hold. A membership can hold zero or more roles.
  • Roles come from:
    • Type baseline roles — every membership of a type automatically gets that type’s baseline role(s)
    • Assigned roles — officer or committee roles you assign to individuals on the roster

The seeded Member role covers everyday participate permissions (directory, book/cancel own reservations, add family members). Create officer roles (Board, Treasurer, Hospitality, …) under Members → Roles and grant the keys each hat needs.

Membership types

Where: Members → Membership Types — Admin, or a role with members.types.manage

Types are dues / roster / pricing classes. Day one includes only a founding roster type so the first Admin can exist.

Booking, voting, and adding family members come from roles, not type checkboxes.

Invites and the roster

Where: Members → Roster

  1. Invite Member for adults who sign in (needs invite permission or Admin). Choose name, email, membership type, optional roles, and optionally Organization Admin.
  2. Invitees appear as Pending until they accept and become Active.
  3. Assign or change roles later from the roster row → Edit.
  4. Primaries (with sub-account permission) or Admins use Add Family Member for household members. Capture relationship and optional birth date (child vs adult rate brackets).
  5. When a family member should sign in, send a Sign-In invite from the roster.

Only primary members are billable platform primaries. Charges for linked sub-accounts resolve to the primary’s open tab / invoice.

Member profile

Members open My Profile from their name or avatar in the header to:

  • See household invoice and payment history
  • Optionally set a photo and a short About Me note

Linked family accounts see household history with a billed-to note when charges settle to the primary.

Terms of Service

Before members can use organization features, someone with Accept Terms of Service key terms.accept must accept the current Terms in-product. Admins always have that permission; you can also grant it to an officer role such as President. Platform operators cannot accept on behalf of your club.
